01Who we are

Creative Mindz AI ("we", "us") is a software development and AI solutions company based in Pune, India. We run the website creativemindzai.com and provide AI Business Audits, custom software and AI systems, and the Build Lab programme.

This policy explains what personal information we collect, why, who we share it with, and the choices you have. It applies to this website and to the information you share with us when you contact us or work with us.

02Information we collect

Information you give us

When you contact us, you choose what to share. This usually includes:

• Your name, business name, phone or WhatsApp number and email address.
• What you tell us about your business and its bottlenecks.
• Whether you are interested in AI Solutions or Build Lab.

The contact form on this website does not send or store anything by itself. When you press "Book My Audit", it opens your own email app with your details filled in, and nothing reaches us until you choose to send that email. The same applies when you call us, message us on WhatsApp or email us directly.

Information collected automatically

Like most websites, our hosting provider keeps standard server logs to run the site and protect it from attacks. These logs can include your IP address, browser and device type, the pages you visited and the time of your visit.

This website does not use advertising cookies or tracking pixels, and we do not build profiles of visitors.

Information from client projects

If you become a client, you may share business data with us during the audit and the project, such as spreadsheets, records, customer or student lists and access to your tools. How we handle that data is set out in our Agreement with you (see section 6).

• To reply to your enquiry and arrange an audit call.
• To prepare your Blueprint, Quotation, Agreement and other project documents.
• To deliver the work or the Build Lab programme, and to support you afterwards.
• To send updates about your project, invoices and payment reminders.
• To keep this website secure and working properly.
• To meet our legal and accounting obligations.

We do not sell your personal information, and we do not use it for advertising.

04Our basis for using it

We handle personal information in line with India's Digital Personal Data Protection Act, 2023. We use your information because you have chosen to share it with us for a specific purpose, such as asking about our services or working with us, and only for that purpose.

You can withdraw your consent at any time by emailing us (section 10). This will not affect anything we did before you withdrew it. If you withdraw consent during a project, we may not be able to continue the work that depends on that information.

05Who we share it with

We share personal information only with the services we need to run our business, and only as much as they need:

Some of these providers may store or process data outside India. We may also share information when the law requires it, for example with tax authorities or in response to a valid legal request.

06Client data in projects

When you work with us, our Agreement with you sets out how your business data is handled. In short:

• We use your data only to deliver the work you asked for.
• We keep it confidential, during and after the project.
• Your data is not used to train AI models.
• Passwords and access keys are never written in documents and are shared through a secure method.
• Where your systems hold personal data about your own customers, staff or students, you remain responsible for it, and we help you build the consent and access controls your systems need.

07How long we keep it

• Enquiries that do not lead to work: up to 12 months, then deleted.
• Client project records: for the length of the project and any support period, and then as long as the law requires for accounting and tax purposes.
• Server logs: kept by our hosting provider for a limited period for security.

You can ask us to delete your information sooner (section 9).

08How we protect it

We take reasonable steps to keep your information safe. This website uses an encrypted connection (HTTPS). Access to client data is limited to the people working on your project, and accounts are protected with strong passwords and two-factor authentication where available.

No system is completely secure. If a breach affects your personal information, we will tell you and the relevant authorities as the law requires.

09Your rights

You can ask us to:

• Tell you what personal information we hold about you and how we use it.
• Correct information that is wrong or incomplete.
• Delete your information, unless we must keep it by law.
• Stop using your information, by withdrawing your consent.
• Nominate someone to act for you if you are unable to.

Email us at the address below and we will reply within 30 days. If you are not satisfied with our reply, you can complain to the Data Protection Board of India.

Our services are for businesses and adults. We do not knowingly collect personal information from anyone under 18 through this website.
